Moving out of your rental unit can be a busy and sometimes overwhelming process. This guide provides clear instructions to help ensure a smooth and efficient transition. Please read this document thoroughly to understand your responsibilities and expectations.
Please note: The purpose of the move-out inspection is not to penalize tenants or find reasons to charge against the security deposit. Rather, it is to restore the property to its original condition so the next tenant can move in without issue.
🛠️ Self-Inspection and Repairs
After years of tenancy, some wear and tear is expected. However, if you’re aware of specific damages, we strongly recommend repairing them prior to moving out.
Making repairs before moving out is significantly more cost-effective. When tenants handle the repairs, they can shop around for affordable rates. If the issue is left unresolved and we must hire a contractor or technician after move-out, market-rate labor costs apply, and these can be considerably higher.

🗑️ Trash and Personal Items Removal
All personal belongings and trash must be removed from the property before your move-out. Trash removal fees start at $200 and can increase depending on the type and volume of items left behind.
Trash inside the designated trash bin is allowed. However, trash bags or large items that do not fit inside the trash bin must not be left inside the unit, in the yard, or at the curbside where trash is collected. All such items must be properly removed and disposed of by the Resident.
If you plan to leave behind any valuable furniture or items behind, you must receive written approval from the landlord. Otherwise, you may be charged for removal.
🧽 Cleaning
A professional cleaning was conducted before each new tenant moves in. Accordingly, tenants must return the property in a comparable condition. Please share the cleaning receipt with us upon move-out. The receipt must include:
- Date of service
- Service provider’s name
- Property address
Failure to meet the move-out cleanliness standards may result in a deduction from the security deposit to cover the cost of professional cleaning services. This requirement is clearly stated in the lease agreement and rental application.
📅 Communicate Your Move-Out Date and Time
Communicating your planned move-out date and time as early as possible helps us:
- Coordinate your move-out inspection smoothly.
- Conduct a preliminary inspection (if time allows), allowing you to make repairs with your own vendor
The earlier we know your plan, the more flexibility we can offer you.
💡 Utility Final Billing
Tenants are responsible for all utilities through the last day of the lease term.
If you are responsible for water/sewer bills and would like to have an accurate final bill, you must contact the town’s Water and Sewer Department to request a final meter reading. Not all towns offer customized meter readings.
If a final reading is not obtained, we will prorate your water usage based on the most recent bill.
🔑 Key Return
Leave all keys in a kitchen drawer. If the door cannot be locked without a key, let us know in at least 7 days in advance and we will provide a lockbox.
Once the keys are returned, your responsibility for the unit ends. You will not be liable for any incidents (e.g., theft or damage) that occur after properly surrendering the keys.
📝 Move-Out Inspection
We will conduct the final move-out inspection after the professional cleaning has been completed.
If cleaning is delayed, the inspection may also be delayed, which may affect the timing of your security deposit refund.
🧾 Evaluation and Repairs
After your move-out inspection, we will compare the current condition of the property with the documented move-in inspection report.
We will:
- Identify any damage beyond normal wear and tear.
- Prepare a repair estimate and share it with the property owner (if applicable).
- The owner will decide whether any costs will be deducted from the security deposit.
Regardless of the responsibility, we’ll repairs any damages to restore the original property condition for the next tenant.
💵 Security Deposit Refund
Your security deposit will be refunded within 30 days of your move-out, minus any deductions for repairs, if applicable. If any amount is withheld, you will receive:
- Photo evidence of tenant-caused damages
- Itemized list of charges with descriptions and repair costs
This documentation serves as official notice and is not negotiable. All charges are based on actual market rates for labor and materials..
