If the property has existing residents at the time of transition to ConnectAll Property Management LLC, we require key documentation and records to ensure a seamless onboarding process. This helps us maintain continuity, uphold compliance, and provide uninterrupted service to both you and your residents.

Below is a checklist of items and documents needed during the transition phase.

 

📄 Legal & Ownership Documents

Please provide the following (if available):

    • Lease Agreements: Full copies of all active leases, including any signed addendums or amendments.
    • Tenant Applications: Applications submitted by current residents at the time of their lease signing.
    • Screening Reports: Credit, criminal, and eviction background checks used during the tenant approval process.
    • Renters Insurance: Copies of active insurance policies maintained by residents.
    • Vendor Contracts: List of active vendor agreements (e.g., pest control, landscaping, snow removal), including contact details and service schedules.

 

💰 Financial Records

To ensure accurate financial accounting, please share:

    • Tenant Ledger: Full rent payment history for each tenant, including current balances, late fees, or pre-paid rent.
    • Security Deposit Records: Detailed records of each deposit collected, interest earned (if applicable), and current holdings.
    • Invoices & Receipts: Documentation for past repairs, improvements, or regular maintenance costs.

 

🛠️ Maintenance & Inspection Records

Sharing past maintenance records enables us to keep your property in great shape:

    • Inspection Reports: Most recent property inspections (move-in, annual, periodic, etc.).
    • Maintenance Logs: Completed and outstanding work orders, including vendor or in-house repairs.
    • Warranty Information: Active warranties for appliances, heating/cooling systems, roofs, and major systems.

 

📬 Communication Records

To maintain consistent communication and understanding with your residents, please include:

    • Tenant Correspondence: Notable emails, letters, notices, or agreements exchanged with tenants.
    • Upcoming To-Dos: A list of scheduled or pending items (e.g., city-mandated inspections, lease renewals, repair appointments).

 

🔑 Handover Items

The following items should be transferred to ConnectAll Property Management at the time of handoff:

    • Keys: All unit keys, building entry keys, mailbox keys, and any master or shared space keys.
    • Access Codes: Smart lock codes, building access credentials, and gate/garage codes.
    • Prepaid Rent: If tenants have paid rent in advance, please issue a check payable to ConnectAll Property Management.
    • Security Deposits: A check made payable to ConnectAll Property Management for the total deposits held, including accrued interest (where applicable by law).
